This Privacy Policy explains how Vixiv Agency handles information when you use Viva Talk, including the Viva Talk Zoom app, translation rooms, account surfaces, and support channels.

1. Who is responsible

Vixiv Agency operates Viva Talk and is responsible for the information described in this Policy. In this Policy, “Vixiv Agency,” “Vixiv,” “we,” and “us” refer to the Viva Talk service operator.

This Policy applies to information processed through Viva Talk. Zoom remains responsible for the Zoom platform and its own processing under Zoom’s policies. When Viva Talk is used in an organization’s meeting, that organization or meeting organizer may also have responsibilities under its own privacy and recording rules.

2. Information we process

  • Account information. An email address or a Zoom-provided account identifier may be used to create an account, authenticate access, provide support, and associate usage with the correct account.
  • Meeting and app context. Viva Talk receives the meeting context required to connect the app to the intended Zoom meeting and coordinate the translation session. This can include meeting, account, user, session, language, and connection status identifiers.
  • Meeting audio. When the organizer starts translation, Viva Talk receives the realtime audio stream made available by Zoom RTMS so it can produce translated speech and subtitles.
  • Translation output and summaries. The service may process recognized speech, translated text, subtitle text, and text needed for audio output. Viva Talk can retain concise generated meeting summaries for 30 days; it does not retain full transcripts or raw audio for this feature.
  • Account, billing, and support information. We process credit balances, purchases or payment references, support messages, and technical details needed to operate the account and resolve a request.
  • Operational data. We process limited usage, performance, error, and security events to keep the service reliable and protect it from abuse.

3. How we use information

  • Provide realtime speech translation, translated audio, and subtitles.
  • Authenticate users, protect meetings, and prevent unauthorized session access.
  • Measure reliability, latency, usage, and service costs without retaining raw meeting audio.
  • Process credit usage, purchases, payment issues, and account support.
  • Detect abuse, investigate incidents, and comply with applicable legal obligations.
  • Improve the beta service when an organizer has explicitly enabled testing-data collection.

We do not sell or rent meeting content or use it for advertising. We do not use Viva Talk meeting content to build advertising profiles.

4. Audio, text, and retention

Viva Talk is designed not to store raw meeting audio. Audio is processed as part of the active translation session and is not presented as a recording or replay feature.

Viva Talk retains concise generated meeting summaries for up to 30 days so the organizer can review them in meeting history and, if they choose, share them with people who attended that meeting. The organizer controls that sharing. This feature never stores raw audio or a full meeting transcript.

Text collection is otherwise off by default. If an organizer explicitly enables the testing-data setting, translation text from meetings opened by that organizer may be retained for up to seven days for beta testing. Turning the setting off stops new opt-in collection; it does not retroactively change records that have already been removed or retained for a separate operational or financial purpose.

Transient translation-stage, room-chat, room-snapshot, and chat-cost records are subject to a one-day retention period. Financial ledger and payment records may be kept longer when needed for accounting, fraud prevention, dispute handling, or legal obligations.

5. Service providers and sharing

We share information only as needed to provide Viva Talk and protect the service. Depending on the feature used, relevant providers may include:

  • Zoom, which provides the meeting, Zoom App, identity context, and realtime meeting stream.
  • OpenAI, which may process audio or text sent for translation and audio generation.
  • Cloudflare, which hosts the application, API, realtime coordination, and infrastructure.
  • Resend, which may deliver passwordless account emails.
  • Ko-fi or another payment provider shown at checkout, when you choose to purchase credits.

Providers process information under their own terms and privacy documentation. We may also disclose information when required by law, to protect users or the service, or as part of a business transfer.

6. Your choices and rights

  • Do not start translation if you do not want meeting audio processed by Viva Talk.
  • Keep testing-data collection disabled in account settings. It is disabled by default.
  • Ask us to access, correct, or delete personal information associated with your account.
  • Ask questions about providers, retention, or the handling of a specific meeting.

Send requests to support@vixiv-agency.com from the email associated with the account when possible. We may need to verify your identity before completing a request. Some records may need to be retained for security, fraud prevention, payment disputes, or legal obligations.

7. Security

We use technical and organizational safeguards appropriate to the service, including HTTPS, short-lived signed session credentials, access controls, restricted service bindings, and log minimization. No online service can guarantee absolute security. Please do not send passwords, tokens, private keys, or unnecessary confidential meeting content to support.

8. Updates and contact

We may update this Policy as Viva Talk changes. The “Last updated” date above identifies the current version. Continued use after an update means that the updated Policy applies to future use to the extent permitted by law.
